ED4S Academy is committed to ensuring a safe and healthy working and learning environment for all employees, delegates, visitors, and third parties. 

1. PURPOSE

​

ED4S Academy is committed to ensuring a safe and healthy working and learning environment for all employees, delegates, visitors, and third parties. This policy outlines the company’s approach to health, safety, and well-being, ensuring compliance with:

 

  • Quebec Occupational Health and Safety Act (CNESST) 

  • Canadian Occupational Health and Safety Standards 

  • Best practices in risk management, ESG, and corporate governance

The policy provides practical guidance for preventing accidents, minimizing risks, and fostering a culture of proactive safety awareness. 

 

2. SCOPE
 

This policy applies to: 
 

  • All employees of ED4S Academy 

  • All delegates participating in online or in-person training 

  • External trainers, facilitators, and third-party service providers engaged by ED4S 

  • Visitors to ED4S offices or training venues
     

It covers all work-related activities, training sessions, workshops, digital platforms, and physical locations. 

 

3. DIRECTOR'S RESPONSIBILITY

​

ED4S Directors acknowledge their collective and individual responsibility to ensure health and safety are integrated into all business decisions. Responsibilities include: 

​

  • Leading by example and fostering a proactive safety culture 

  • Monitoring compliance with this policy and applicable legislation 

  • Ensuring adequate resources for risk assessment, training, and incident management 

  • Reviewing health and safety performance annually as part of governance oversight

​

4. MANAGERIAL RESPONSIBILITY

​

Supervisors are responsible for day-to-day implementation of this policy: 

​

  • Conduct risk assessments for all activities, workshops, and events 

  • Ensure employees and delegates are instructed, trained, and supervised to minimize risks 

  • Monitor compliance with safety procedures and escalate unresolved issues to the CEO 

  • Maintain records of risk assessments, training, and incidents 

  • Regularly review and update practices based on evolving circumstances or feedback

5. EMPLOYEE RESPONSIBILITY 

​

All employees have a personal and legal duty to contribute to a safe environment: 

​

  • Follow all safety procedures, guidelines, and instructions 

  • Participate in training and awareness sessions 

  • Report hazards, incidents, or near-misses promptly to management 

  • Cooperate in investigations and implementation of corrective measures 

  • Proactively suggest improvements to processes or equipment

​

Employees who knowingly disregard procedures and cause risk to themselves or others may face disciplinary action, including termination in extreme cases. 

​

6. RISK ASSESSMENT AND HAZARD MANAGEMENT 

​

ED4S implements a structured risk management approach:

​

  • Identify hazards for each activity (online sessions, in-person workshops, office work) 

  • Assess likelihood and severity of potential harm 

  • Implement preventive measures (equipment checks, ergonomic practices, venue safety) 

  • Document findings and communicate them to staff and delegates as needed 

  • Review and update risk assessments annually or after incidents 

 

7. INCIDENT REPORTING AND INVESTIGATION

All accidents, incidents, or near-misses must be reported immediately to management. 

A brief incident report will be completed, including cause, impact, and corrective actions. 

Serious incidents are escalated to the CEO and, where required, CNESST or regulatory authorities. 

Lessons learned will be used to update procedures and prevent recurrence. 

​

8. TRAINING AND AWARENESS

​

  • Select employees receive initial and ongoing training in health and safety procedures. 

  • External trainers and delegates are informed of relevant H&S requirements before workshops or training sessions. 

  • Training includes hazard recognition, emergency procedures, health protocols as needed. 

 

9. CONTINUOUS IMPROVEMENT

​

ED4S commits to: 

​

  • Annual review of health and safety performance and policy updates 

  • Regular consultation with staff and external trainers to identify risks and improvement opportunities 

  • Alignment of H&S practices with ESG commitments and sustainability goals 

 

10. COMMUNICATION

​

This policy is communicated to:

​

  • All employees upon hire 

  • All delegates prior to training sessions 

  • All external trainers and contractors before engagement 

  • Staff and third parties are encouraged to actively participate in health and safety initiatives based on their engagement and provide feedback.

11. LEGAL COMPLIANCE

 

This policy ensures compliance with: 

​

  • Quebec Occupational Health and Safety Act (CNESST) 

  • Canadian Occupational Health and Safety Regulations
